Based on the details provided in your Rental Application, your event may require an additional Special Event Permit as determined by the City of Pelham. Factors such as anticipated attendance, the use of food/treat trucks, or other event-specific elements may necessitate further review and approval.
A Special Event permit could be required for the following:
- Attendance of 100 people or more
- Activities that could impact traffic or pedestrians
- The discharging of fireworks
- Vendors selling goods/services
- The preparation and/or sale of food
- Road closures
- Temporary stages or platforms
- Fencing or barriers
- Inflatables, jumpers, trampolines or carnival rides
- Your event requires city event services (police, fire, etc.)
NOTE: Special event permit applications should be submitted no later than 30 days prior to your event.

Obtaining a special event permit for events at a Pelham City park is at least a two-part process.
STEP 1
Event organizers must fill out a Special Event Application and submit via email to Tabitha Dudley or in person at the Pelham Recreation Center. The Special Event Application gives a general overview of the event and allows Parks & Rec to review and tentatively reserve the available requested location and authorize the applicant to continue to the Special Event Permit and City of Pelham Business License. All reservations are tentative until deposit is paid, and a permit has been issued.
STEP 2
Once you receive confirmation that your request has been received, you will be prompted to complete a Special Event Permit Application through the City of Pelham’s Development Services Department, which provides the City of Pelham with more in-depth details of the event.
Note: A City of Pelham Business license may be required, and will be notified to obtain that as well prior to your event. There are separate fees associated with both obtaining the business license as well as a special event permit.
General Rental Policies
- Facility spaces may be rented during regular hours of operation.
- Requests should be made a minimum of two weeks prior to the event request date.
- All special events and organized groups are required to submit proof of liability insurance. A minimum of One Million dollars' worth of insurance is required.
- All cancellations must be made 48 hours prior to the reservation. Groups that do not show up without prior cancellation on the day of the scheduled reservation will not be eligible for a refund.
- All groups must follow the policies and procedures for each designated area.
- All decorations, food, drink, signage, etc., must be approved by the Parks & Recreation team prior to the event. Details not listed on the event confirmation will not be permitted during the event.
- Damage to the facility, equipment, or any Parks & Rec property will be billed to the group.
- Excessive clean-up requiring additional staffing hours will be billed to the group.
Rental requests outside of regular hours are considered on a case-by-case basis and will require an additional $30/hr. per staff member.
